Organisation use
These responsibilities form part of the Terms of use for people acting on behalf of an organisation. Only an authorised adult should apply for access, invite staff or publish information. Organisation approval is permission to use PraniID, not a licence or government endorsement of the organisation.
Records and staff access
The organisation is responsible for the accuracy of its records, choosing staff permissions, reviewing public fields and removing access when someone leaves. Protect invitation links and review membership regularly. Owners must arrange continuity or an authorised ownership transfer when leaving.
Keep independent copies of records required for care or legal compliance. Check care reminders against clinical records; do not rely solely on a browser notification or a QR badge for treatment decisions.
People’s information
Explain to staff, applicants, caretakers and emergency contacts how their information is used and shared. Obtain an appropriate basis for supplying/publishing it. Use applicants’ and finders’ details only for the stated workflow, not unrelated marketing. Publish an organisation contact where possible instead of a volunteer’s personal address or number.
Handle correction, removal and complaints concerning your use of the information. Cooperate with the operator on requests and incidents. The operator remains responsible for its own platform purposes, including account access, security and operations; neither party can transfer away its legal duties through these Terms.
Adoption and care decisions
The organisation makes screening, care and lawful handover decisions and provides any separate adoption/animal-transfer agreement. State requirements accurately, keep listings current and do not ask for payment or additional sensitive documents through misleading messages. Follow animal-welfare and other laws that apply to your activities.
Processing instructions and ending access
Using the console instructs the operator to store and process organisation information for the features requested, with the providers and disclosures described in Privacy. Any separate processing agreement takes precedence for its defined scope, without reducing mandatory legal protections.
Discuss special processing requirements before uploading information that requires additional controls. Notify [email protected] promptly about suspected unauthorised access or disclosure. Before ending organisation use, arrange export, public-profile removal and lawful retention/deletion with the operator. Staff-account deletion does not automatically erase the organisation’s registry.
